Welcome to Odan Construction Software / ODAN CMS. This Privacy Policy explains how Odan Infotech LLP (“we,” “our,” or “us”) collects, uses, stores, shares, and protects information when users access our website, mobile application, and construction management software services.
By using our website, app, or software, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use our services.
1. Information We Collect
We may collect the following types of information:
Personal Information:
Name, mobile number, email address, employee ID, company name, designation, project/site name, attendance details, and any information voluntarily provided by users or employer/admin accounts.
Employee Attendance Information:
Punch-in and punch-out time, attendance status, worksite/location details where enabled, device information, photos uploaded for attendance or work reporting, and related attendance records.
Face Data / Biometric-Related Data:
For employee attendance verification, the app may collect an employee face image/photo during registration and attendance punch-in/punch-out. The system may also generate a face template/face embedding from the image for matching and verification.
Device and Log Data:
IP address, browser type, device type, operating system, app version, crash logs, usage logs, and pages/features accessed.
Location Data:
Where enabled by the employer/admin, the app may collect location data to verify attendance at an approved project/site location. Location use depends on app permissions and employer attendance settings.
Cookies and Website Data:
Our website may use cookies or similar technologies to improve user experience and analyze website usage.
2. How We Use Your Information
We use collected information for the following purposes:
- To provide, operate, and maintain our construction management software and mobile app.
- To manage employee attendance, site reporting, project records, and admin dashboards.
- To verify employee identity while marking attendance.
- To prevent proxy attendance, false attendance, and unauthorized attendance marking.
- To generate attendance, payroll, HR, and project reports for employer/admin use.
- To improve app performance, troubleshoot issues, and enhance user experience.
- To communicate service updates, support responses, and important notices.
- To comply with legal, audit, security, and business requirements.
3. Face Data Collection and Use
Our app uses face detection / face recognition only for employee attendance verification.
What face data is collected:
The app may collect employee face images/photos during face registration and attendance punch-in/punch-out. The app may also create a face template/face embedding from the employee’s face image for verification.
Purpose of face data:
Face data is used only to verify that the registered employee is physically present while marking attendance, prevent proxy attendance, and maintain attendance records for employer/admin use.
What face data is not used for:
Face data is not used for advertising, marketing, tracking across apps or websites, profiling, selling data, or any unrelated purpose.
Apple Face ID clarification:
We do not collect, access, store, or process Apple Face ID data. Apple Face ID data is controlled by iOS and remains on the user’s device. If biometric account login is used on iOS, Apple’s LocalAuthentication framework will be used as the primary biometric authentication mechanism. Our custom face verification is used only for attendance verification and does not replace Apple LocalAuthentication for account login.
4. Face Data Storage, Sharing, and Disclosure
Face data is stored securely in our backend system/database used for employee attendance management.
Face data is accessible only to authorized employer/admin users and authorized system processes required for attendance verification and attendance reporting.
We do not sell face data. We do not share face data with advertisers, data brokers, or unrelated third parties.
Face data may be processed by secure infrastructure/service providers required to operate the app and backend services, only as necessary to provide the attendance verification service and subject to confidentiality and data protection obligations.
5. Face Data Retention and Deletion
Face data is retained only while the employee account is active and while the employer/admin requires it for attendance verification, attendance records, payroll, audit, legal, or compliance purposes.
When an employee is removed from the system or when deletion is requested by the employer/admin, the employee’s face data will be deleted from active systems within a reasonable period according to our deletion process, unless retention is required for legal, audit, payroll, security, or compliance purposes.
Employers/admins may contact us to request deletion of employee face data or related attendance records, subject to applicable legal and business record requirements.
6. Sharing Your Information
We do not sell, rent, or trade personal information.
We may share information only in the following limited cases:
- With authorized employer/admin users for attendance, project, HR, payroll, and reporting purposes.
- With service providers who help us operate hosting, storage, security, analytics, support, or communication services.
- When required by law, legal process, audit, compliance, or government request.
- To protect rights, safety, security, and prevent fraud or misuse of our services.
All such sharing is limited to the purpose required to provide and protect our services.
7. Data Security
We take reasonable technical and organizational measures to protect user information, including access control, secure storage practices, and restricted access to sensitive information.
However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we work to protect information using commercially reasonable safeguards.
8. User and Employer Responsibilities
Our software may be used by companies/employers to manage employees, sites, attendance, and construction project operations.
The employer/admin is responsible for informing employees about the use of attendance verification, face verification, location verification, and related workplace policies where applicable.
Users should provide accurate information and should not misuse the app, submit false attendance, or attempt unauthorized access.
